Information we may collect about you and how we use it

The table below explains who we collect personal data about, what that personal data is and the purpose. The last column sets out the ‘lawful basis’ we rely on for processing that personal data which is a requirement of data protection rules. Essentially, companies may only process personal data if they can identify a lawful basis from a list set out in the legislation.

We use the details to send the newsletters or communications. We don’t pass your contact details to sponsors or teams directly but send any newsletters or communications to you on their behalf.	Consent. You can unsubscribe at any time.
Candidates.	CV, contact details, reference information and correspondence.	This is information given to us by you or from third party referees. It is used to assess the suitability of candidates applying for a position with us.	Our legitimate interests of assessing the suitability of candidates applying for a position with us. Any health or other sensitive information is only collected if you have chosen to give it to us/consented.
Website visitors.	Information from cookies. For more details see our Cookie Notice.	This information is collected via the cookies when you use our Websites.  For more details see our Cookie Notice.	We only install non-essential cookies with your consent.
Competition entrants.	Contact details, competition entrance submission and information. Fulfilment details required if a prize is won. Where relevant, any information required for checks to ensure eligibility.	This information is collected directly from you when you enter a competition and used to manage and run the competition.	Performance of the competition terms and our legitimate interests in running the competitions.
Gridplay voters (those who vote in XE races via social media or online).	Social media handle, social media ID, contact details, message and vote.	This information is collected from information you provide when you vote online or via social media using the dedicated Gridplay hashtags promoted by us.	Legitimate interests in running the vote and we may also use social media details provided for targeted communications and promotions via social media subject always to your social media settings.
Customers who make a purchase via our online store.	Contact and delivery details, payment details (although these are only processed by our third party payment provider), details of purchases.	This information is collected from the details you provide to us when you place an order to make a purchase.	We use this information to perform the contract to you in providing the products you have purchased.
Participants in market researchactivities, such as surveys or interviews.	Name, age, gender, region, email address, video and audio recordings.	This information is collected directly from you when you participate in a market research activity and is used to improve our offering to fans of Extreme E. We may use third parties to carry out that research or to administer surveys and these third parties may require you to sign up to their terms in order to participate.	Consent. We ask participants to provide consent to data processing when signing up as a participant to any market research activity.
Race event team members and attendees, including team members, employees of suppliers who attend race days and attendees generally.	Name, age, gender,email address, contact details and Medical Data (see below).	This information is collected either directly from you, from third parties who have collected your data in connection with the organisation of a race event or from your team/employer and is used as part of us providing race events as well as managing the safety of our events and personnel during race events.	Our legitimate interests of providing safe and secure race events. For Medical Data: your explicit consent (see below).

 

Data Sharing

We will share your personal information with third parties only in the ways that are described in this Privacy Notice. If you would like to find out more about how the third parties listed in this Privacy Notice use your information, this should be set out in their respective privacy notices.

We keep your information confidential, but may disclose it to our personnel, suppliers or subcontractors insofar as it is reasonably necessary for the purposes set out in this Privacy Notice. However, this is on the basis that they do not make independent use of the information, and have agreed to safeguard this information.

In addition, we may disclose your information to the extent that we are required to do so by law (which may include to government bodies and law enforcement agencies); in connection with any legal proceedings or prospective legal proceedings; and in order to establish, exercise or defend our legal rights (including providing information to others for the purposes of fraud prevention or to our professional advisers).

If we are involved in a merger, acquisition, or sale of all or a portion of our assets, you will be notified via email, account message and/or a prominent notice on our Websites of any change in ownership or uses of this information, as well as any choices you may have regarding this information.

We may also disclose your personal information to third parties in order to enforce or apply the terms of agreements between us, to investigate potential breaches, or to protect the rights, property or safety of us, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

If you send us objectionable content or behave in a disruptive manner when using our Websites, we may process any personal information that you have submitted to us, including in your personal messages, to respond to and stop such behaviour.  Where we reasonably believe that you are or may be in breach of the law (i.e. the content you share on the Websites amounts to harassment or is defamatory), we may use your personal information to inform relevant third parties about the content, such as your email or internet provider or law enforcement agencies.

If you do not wish to continue to receive promotional or other marketing material from us or third parties then you can opt-out at any time by clicking on the unsubscribe link in those emails or contacting us at enquiries@extreme-e.com at any time.  

Your Rights in relation to your Personal Data that we process

You have a number of rights in relation to the way we process personal data about you.  Where an individual makes a data subject rights request in accordance with data protection laws, we aim to comply without undue delay, and within one month at the latest.  Those data subject rights include the right to make the following requests:

• to ask for confirmation and information about the personal data that we process about you, including a copy of data we are processing about you;
• to have inaccuracies corrected or incomplete personal data made complete;
• to ask us to restrict, stop processing, or to delete your personal data;
• to request a machine readable copy of your personal data, which you can use with another service provider. Where it is technically feasible, you can ask us to send this information directly to another provider if you prefer;
• to not be subject to automated decision-making, including profiling; and

Automated decisions

Automated decisions are those made without human intervention that have a legal effect on you or other similarly significant effect (for example determining whether you are eligible for a job). We do not carry out this type of processing activity.

Data Retention

In accordance with data protection laws and good commercial practice, we do not retain data in a form that permits identification of the person(s) to whom it relates for any longer than is necessary. Once the purpose for which information has been collected has been fulfilled, we will either permanently delete your personal information or remove all identifiers within it so that it is no longer personal data.  We may use such anonymised data for research and/or business analysis purposes.

Children

We do not knowingly use the Websites to solicit data from or to market to children under the age of 13.

If a parent or guardian becomes aware that his or her child has provided us with information or may be receiving communications from us or otherwise interacting with our Websites without the consent of a parent or guardian, we ask that this be brought to our immediate attention.  We will make it our priority to address this situation and delete information relating to a child as soon as practicable.  In such an event, please contact us at enquiries@extreme-e.com.

Medical Data for Race Events

As part of our commitment to delivering safe and secure race events for our racing teams, support staff, suppliers and attendees, at races we provide the option for individuals to provide details of relevant medical information that may be required in the event of a medical incident during a race day.

We will take commercially reasonable, appropriate technical and organisational measures to ensure a level of security appropriate to the risk that could be encountered via the use of our Services, taking into account the likelihood and severity those risks might pose to the rights and freedoms of our Website visitors.

In particular, we will take precautions to protect against the accidental or unlawful destruction, loss or alteration, and unauthorised disclosure of or access to the personal information transmitted, stored or otherwise processed by us.

Please be aware that, while we make the security of our Websites and your personal information a high priority and devote considerable time and resources to maintain robust IT security, no security system can prevent all security breaches. When you choose to share your personal information with us, you accept the aforesaid and provide your information at your own risk.  

International Data Transfers

We may sometimes transfer your personal data to countries outside the UK and/or European Economic Area (or between the two), for example if we are using a supplier based elsewhere.
